Using Google Takeout to back up G Suite email.

 

It is a tool that helps the user download their email to local storage.

  1. Navigate to Google Takeout and log in with your Google Workspace credentials.

  2. Then, click Mail Only and tap Next.

  3. Select Send download link via email as the delivery method.

  4. Then, select .zip as the file type, set the file size, and click Create Export.

  5. Then, you'll get an email with a download link: Download it.

  6. Lastly, extract the .zip file, and your emails will be saved in MBOX format.

 

Using the Data Export tool to back up Google Workspace email.

 

In this procedure, we are using the Google Workspace admin account. So, if you’re a G Suite Admin, you can use Google's built-in Data Export tool to back up emails:

 

  1. Go to the G Suite login page and sign in to your Google Workspace Admin account.

  2. Then, navigate to Data Export.

  3. Tap Start Export to begin the process.

  4. Then, wait for Google to prepare your data, depending on the size. You’ll receive a download link via email.

  5. Open the link and download your email archive.

 

Note:

These methods work, but they can be slow and are not ideal for large amounts of data. Once the process begins, it can’t be stopped, and it might take days to complete. So, if this limitation bothers you, then opt for the third-party tool for G Suite email backup.
